Guides, help and answers

How setup works, short guides to the things people ask about most, and where to get help.

From first call to first certificate

Every workspace is set up with you. You don’t need to configure anything before the walkthrough.

  1. Tell us what you needWho the training is for, roughly how many people, and which sites or clients.
  2. We set up the workspaceIts name, address, branding and privacy notice, then we invite its owner.
  3. Build and assignUpload video, publish courses and require them by site, or assign them to people by name.
  4. See who completedFollow progress, review submitted work and keep certificates on record.

Guides

Short guides

Setting up required training by site

Make an induction path required at one depot and see who is current.

  • Create your sites in People › Sites, and give each person their site.
  • Publish the courses, then add them to a learning path and mark them required.
  • In Setup › Required training, require the path for the whole workspace or one site.
  • Overview now counts someone as current only when they hold a valid certificate for every required course.

How certificate checks work

What a site manager, client or auditor sees when they check a number.

  • Every certificate has a number and a QR code that opens its public record.
  • Anyone can enter the number at Check a certificate. No account is needed.
  • The record shows the person, the course, the issuing organisation, the dates and its validity, in words.
  • A revoked, expired or replaced certificate says so plainly. A certificate records training; it isn’t a licence.

Bringing on a labour-hire crew

Get a crew through a client’s induction before their first shift.

  • Invite the crew in bulk from a spreadsheet into the client’s workspace.
  • Put them in a cohort and assign the client’s induction path with a due date.
  • Watch progress in People and remind anyone who hasn’t finished.
  • Send the client the certificate numbers, or let their gatehouse scan the QR codes.

Moving your existing training in

Bring the courses and records you already have.

  • Upload videos, documents and images straight into lessons; video is processed for you.
  • Play SCORM 1.2 packages in a lesson, or import Common Cartridge 1.4 packages you already own.
  • Record training done elsewhere as external learning, with its evidence.
  • Ask us during onboarding about bringing people in from your HR or rostering system with OneRoster or CSV.

For reviewers

Security, privacy and accessibility

  • Security

How training data is kept separate and private.

  • Privacy

What is collected, why, and how long it is kept.

  • Accessibility

How the site works with assistive technology, and how to report a barrier.

Questions people ask

Does reaching the end of a video complete the lesson?

No. Learners mark each lesson complete themselves, so a video playing to the end is never recorded as completion.

What happens to learners when a course changes?

Publishing creates a new release. People already enrolled stay on the release they started, so their progress isn’t rewritten.

What happens when a certificate is revoked?

The organisation that issued it can revoke it. A check then shows it as revoked, not valid, so nobody should accept it as current training.

Are certificates proof of compliance?

No. A certificate records completed training, and anyone with its number can check it. It isn’t a licence.

Does it work without good reception?

Lessons stream, so they need a connection. If it drops, the app shows that it’s offline instead of a broken page, and progress already marked complete is kept.
